Let’s talk about the logistics of the position:

  1. We’re looking for a Bookkeeping Assistant that wants to grow with our company.
  2. This is a part time position with 5 – 10 hours per week.
  3. The pay is $20/hour + bonus opportunities based off performance in the company.
  4. This is a contractor position but with hard work and dedication, we’d love to bring you on as a full time employee.
  5. We work 100% remotely (which means, you can wear your PJs all day and no one will mind).

Bookkeeping Assistant Position

Responsibilities & Role Specifics:
You’ll be responsible for assisting not just clients but also the team in executing day-to-day work that moves the needle forward. Your work is a vital part of what we do, is extremely valued and an opportunity to make a difference.

You need to be all about the details, ready to take action when needed and you don’t race through the work and instead you’ll be focused on ensuring there’s consistency and accuracy. You’ll need to piece together the work others have done and pick up where they left off, especially when extra support is needed.

In addition to the above, you MUST follow systems, processes, and SOPs created in the company. Just to test whether you’re detail oriented and can follow instructions, please include ‘I’ve found my dream company’ in the subject line of the email. You’d be surprised how many people blindly apply and we’re not messing around and looking for a badass, thorough team member to add to our team.

Responsibilities Include:

  • Respond to clients and get their questions answered
  • Client support in billing issues, service updates, general support
  • Create client surveys and forms to ensure we’re serving our clients to its fullest
  • Manage your calendar effectively to ensure you’re on time to any important meetings
  • Attend weekly team meeting
  • Effectively manage your day-to-day tasks to ensure deadlines are hit
  • Manage your assigned clients and communicate any issues you find with the team
  • Set up rules inside of QBO to create more efficiency
  • Upkeep client satisfaction and strategize ways to improve the level of service provided
  • Fetch and pull bank statements for clients
  • Reconcile all necessary bank accounts, asset accounts, loans, etc. in QBO
  • Communicate with team members via Slack in a professional manner
  • Create client specific requests in Keeper
  • Store any and all documentation received by clients
  • Maintain a clean virtual storage for the team
  • Classify receipts in Hubdoc and publish to QBO
  • Keep a list of typical questions to create an FAQ database for future reference
  • Document core SOPs and processes to ensure efficiency
  • Maintain client profiles in Notion and update as needed
  • Take control of client requests including and not limited to technical issues, billing issues, questions or concerns
  • Receive payments and match to bank feed in QBO
  • Create essential journal entries with detailed reports and ensure accuracy
  • Review all necessary reports to ensure proper upkeep of books for clients
  • Manage month end close for each of your assigned clients and ensure deadlines are met

MUST HAVES:

  • QBO Certification
  • Knowledge of Google Sheets / Excel

PREFERRED:

  • Knowledge of Hubdoc
  • Knowledge of ClickUp
  • Knowledge of Keeper
  • Knowledge of Notion
